If a user has Administrator level privileges allow for override of any and all fields in AP transaction Entry and/or AP unapproved Invoice Entry. For example, if material is ordered via a PO, and receiving is checked, the AP Administrator should have a simple method of making changes to incorrect values. Those values could be anything, from the cost type or phase of the item on the purchase order or even the vendor itself. The override should flow thru the tables to the original PO and should just be flagged with an asterisk (Override - user: JohnDoe@company.com).
To prevent fraudulent activity, if such functionality should require an approval from another admin user, that would be perfectly fine. Maybe set it up as a company parameter.
Please also build a canned report that would list all override activity with the old value and new value for a specified time period. This not only helps avoid fraud, but can be used as a QA function for PO users. Because the users who often drive costs needing to be paid via AP (eg. Purchasing, Sales, etc.) are rarely accountants themselves, having this functionality would save hours of time having to "unreceive" material or correcting others mistakes.
