Additional status to Invoice

We have a Viewpoint request we’d like to see if it’s possible to implement. 

 

Today, in accounts payable invoices can reside in an unapproved and approved status.   Approved invoices are posted to the ledger while unapproved invoices are in reviewer queues waiting for approvals.

 

Frequently we get invoices from vendors that we dispute and/or have issues with.   They continue to reside in the unapproved queue as approvers do not agree with the invoices.   These invoices may never be approved or may reside in the unapproved queue for months (even years) due to disputes or approvers don’t agree with the invoice.  

 

We would like to explore the possibility of having a 3rd status for invoices in accounts payable.    I will call this status “archived”.   Here’s what we would like to know if this is possible in Viewpoint:

 

  1. Invoice resides in unapproved status
  2. AP/approvers determine that the invoice is in dispute or will not be approved
  3. AP/approvers would like to retain all the documentation and comments within Viewpoint
    1. We don’t want to simply “remove” the invoice from Viewpoint and lose all the history
  4. AP would move the invoice from “unapproved” to “archived” status
  5. The invoice history would remain in Viewpoint
  6. The invoice would now have a status of “archive”
  7. AP/others can query “archive” status invoices within Viewpoint
    1. Same functionality as currently exists with approved and unapproved invoices
  8. When AP runs AP aging reports, the “archived” items are not included in the reports (or at least give the user an option to exclude “archived” invoices)

 

Today, IEA legacy removes invoices from Viewpoint and manually saves the information on Sharepoint.  This process is manual, time consuming and does not allow for easy access & review like Viewpoint offers.

    This is a great idea, although I might call them "Disputed" not "Archived". It qould be great if the dollars related could even be moved to a disputed AP Gl.

    This is brilliant. I need this also for rejections. I don't necessarily want to post the invoice but I don't want it sitting in unapproved for months or years. I agree with archiving with a status, reason, etc.
