Purchase Order Forms Need Some Updates

Because of the way the PO entry form is set-up we have no idea what person actually created a PO.  There are drop down menus for Ordered By and one for Created By but you can put Mickey Mouse's name in there if you want.  In AP if the PO is wrong we need to find out who created that PO to ask them questions and we can't.  How can it be hard coded that when the PO Purchase Order Form is printed that the person who was logged in and created that PO be printed on the PO?

Also, when we print out or view the PO Form we need to see if an invoice has already been applied against that invoice and/or how much money (quantity) is left on the PO.  This too is imperative for us to work.  We cannot wait until we are halfway through entering in the invoice in AP, pull up the PO just to find out there is an issue.  I need to pull up the PO first, review the PO against the invoice and resolve my issues prior to entering into AP.

Our old accounting software did this so I can't imagine this would be too difficult to add this function to the software.  I hope someone really reads these - I really need this and the rep Randi that I emailed back and forth with said there is no way to do it right now.

    Our company relies heavily upon Purchase Orders and when there is a problem with the purchase order I can't wait until I am entering in the invoice and apply the PO to find out there is a problem.  I should be able to print out the PO from PO Purchase Order Forms and view everything I need:  who created the PO, invoice numbers that have already been applied to the PO (if any), how much money if left on the PO, etc.

    Marla,

    The first part of your request can be handled with basic customization (such as a custom validation or custom trigger). The problem with Viewpoint hard-coding the name is that every business may have different business logic, for example, some companies may have an assistant enter the PO, but wish to have the project manager's name as the ordered by name. I'd be happy to assist you in creating a customization to track the user that created the PO at no charge if that would help you.
