Add PR Dept to Job Setup

If we could add the PR Dept to a job, this would alleviate manually correcting in timecard entry and the employee would not need to know the department either.

    Deanna,

    There are 2 departments that can lead a payroll expense to a proper GL account. GL accounts associated with a PR department are used for expensing costs when time is captured with no Job number, or equipment number for mechanics time , and WO number for service. Sounds like you use job numbers to capture time even for the company that no using Vista as its' ERP, so with proper sent up in PR Departments and JC departments , as long as there is a job number associated with a time entry, the set of GL accounts tied to a JC department should kick in for expensing those costs. In order to make sure this is working correctly for you , you would want to make sure that JC Applied Earnings account is populated in PR Departments and it is the same as your expense account.

    Here is info from F1 help on the JC Applied Earnings field in PR departments.

    "Enter the GL account to credit when posting earnings to jobs. Offsets earnings expensed to JC by earnings type."

    Sorry I am just now revisiting this. We have 2 companies, not both are using VP as their accounting package, yet we run payroll for both companies through VP. We have to create a journal entry for the company that is not using VP so they can capture their payroll costs. We have to use several reports to get them this information, including the PR Dept Reconciliation report. If the PR Dept is not changed from the employees default to match the job dept, this report does not populate correctly. We then have to reopen payroll, clear direct deposits, fix the timecard entries, and then go through the entire process again to close payroll to create the correct journal entry.
